One simple way of doing this is to highlight a range of cells and apply all the formatting attributes that you want to add to your style and then turn those attributes into a cell style. When you create your cell style, Excel will pick up all the attributes from the highlighted cells and include them in the style. Let’s take an example; let’s say we want to create a cell style for headings with text angled at 45 degrees.

To set the text angle to 45 degrees, choose “Angle Counter Clockwise” from the Alignment section of the Home Tab of the Excel Ribbon. We might also want to centre the text horizontally and vertically, change the colour and make the text bold and slightly larger. Having chosen the relevant options from the Home Tab of the Excel Ribbon, to create a style which has all these attributes, simply highlight a cell that contains these formats and choose “New Cell Style” from the Cell Styles drop-down menu in the Styles Tab of the Excel Ribbon.

The Style dialogue box will then appear. Here, we can specify a name for our new style: let’s say we call it “Angled Heading”. The Style dialogue box contains six categories of formatting information which can be activated or deactivated via a series of checkboxes. We can switch off any categories of formatting that don’t apply. Thus, for our heading style, we can deactivate the categories “Number”, “Border”, “Fill”, or “Protection”; so we can uncheck all of them. Next to each of the categories, Excel lists the relevant attributes of the highlighted cell(s); so it’s not necessary to click on each category to set any options; all we need to do is click OK.

When creating a cell style in this way, it is important to realise that Excel does not apply the style to the cell or cells on which the style was based. If you wish to apply the style to the cell, you need to do so explicitly by highlighting the cell and choosing the name of your new cell style from the Cell Styles drop-down menu in the Styles section of the Home Tab of the Ribbon. Once you have created a style, you’ll notice that Excel has an extra category called custom in the Cell Styles drop-down menu and it is here that you can choose the style that you just created. Although the highlighted cell may not look any different, it will now be associated with the new style.

We would then proceed to apply the style wherever it was needed throughout our workbook. This, in itself, is a big time-saver. In addition, however, if we decide to change the format of our heading, all we need to do is to modify the attributes associated with our cell style and all of our headings will be automatically updated.

COUNTIFS does exactly the same. However, with COUNTIFS, we can specify multiple criteria. For instance, let’s say we have a worksheet containing four columns: the date, the number of phone calls received, the number of complaints and the percentage of calls which were actually complaints.

We now want to create a summary worksheet to calculate the number of days where the percentage of calls that were complaints is, firstly, under 5%; secondly, between five and 10% and, thirdly, over 10%.

To find those days where there were fewer than 5% or more than 10%, we can use COUNTIF function because we are dealing with a simple condition: less than 5% or greater than 10%. However, to find those days where there were between 5% and 10%, we will need to use multiple criteria; firstly, greater than or equal to five and, secondly, less than or equal to 10. For this reason, we will need the COUNTIFS function.

When creating formulas, it is always useful to give names to the ranges of cells are you are referencing. To allow Excel create the names for you automatically, select all of your data, including the column headings then, in the Formulas Tab of the Excel Ribbon, click on Create from Selection. Switch on the option “Create names from values in the Top Row” and click OK. Let’s assume that the heading at the top of the fourth column (the one containing the percentage of calls which were actually complaints) is “Percentage”, this would be the name that we would use in our COUNTIF formulas.

Having created our named ranges, we can switch to the report worksheet and click in the cell where we want to calculate the total number of days where less than 5% of our calls were complaints. Here we would enter our formula: =COUNTIF(Percentage,”<5″). Notice how, when using COUNTIF and COUNTIFS, the criteria are always surrounded by quotation marks.

In exactly the same way, to calculate the total number of days where more than 10% of our calls were complaints, we would use the formula =COUNTIF(Percentage,”>10″).

Finally, to work out the total number of days where between 5 and 10% of our calls were complaints, we would use the formula =COUNTIFS(Percentage,”>=5″,Percentage,”<=10″). The COUNTIFS function permits you to repeat the two arguments used with the COUNTIF function (criteria range and criteria) up to 127 times. Thus, in our calls and complaints example, criteria range 1 is Percentage; criteria 1 is “>=5″; criteria range 2 is also Percentage; and criteria 2 is “<=10″.

For example, let’s say we have columns containing title and first name and another containing last name; we could use concatenation to create each person’s full name. All we have to do is to string together the title, first name and last name.

Excel offers two methods of concatenation. The first is to use the ampersand (’&’) which is the concatenation operator: the second is to use the CONCATENATE function. To use the ampersand in our Full Name example, we would first type in “=” to indicate that we want to create a function. Secondly, we would click on the cell containing the title to have Excel add a reference to that cell to our formula.

The next step would be to add a space to separate the title from the first name. To do this, we simply type the concatenation operator followed by a space and since a space is a text character, it has to be enclosed in quotation marks. Thus, we would actually type ‘& ” ” &’. Next, we click on the cell that contains the first name, then type ‘& ” ” &’ once more to add a space separating the first name from the last name.

To finish, we click the cell that contains the last name and, to confirm the formula, either press the Enter key or click on the Enter button on the left of the formula bar.

Let’s now look at doing the same thing using the CONCATENATE function. When using the Insert Function command, the CONCATENATE function is found in the Text category. It allows you to string together up to 255 pieces of information. Let’s say, for example, that our title was in cell C2, our first name in D2 and our last name in E2; our formula would be ‘=CONCATENATE(C2,” “,D2,” “,E2)’.

As to which method is better; there is not much to choose between them. Simply use the one which seems simpler or more logical to you. One argument for using the first method is that the use of a concatenation operator is found in most scripting and programming languages. Some environments use an ampersand; others use a plus sign.
